Salary: 16.62 hourly

Description:

Manages office operations for Facilities Services and serves as administrative assistant to the director.

1. Manages administrative office functions; provides work leadership to office support staff.
2. Manages financial accountability for the department, ensuring compliance with State and institutional guidelines.
3. Administers monthly reconciliation of departmental accounts, and generates monthly financial and budget reports.
4. Assists with development and monitoring of the annual budget.
5. Administers human resources and payroll activities; coordinates time reporting; and reconciles payroll with accounting reports.
6. Maintains department records of training activities and human resources documents.
7. Administers department’s work order and preventative maintenance system; coordinates work orders, tracks, and follows up to ensure work orders a completed in a timely manner.
8. Administers the key control program and building security system.
9. Manages department web content to ensure accessibility standards for compliance.
10. Maintains director and assistant director’s calendar; schedules meetings and appointments.
11. Provides administrative support for the director, and assists director with special projects.
12. Assists director with compiling data for quarterly institutional compliance reports.
13. Performs other job-related duties as assigned.
Minimum Qualifications: High School diploma or GED and (7) years secretarial and/or bookkeeping experience or equivalent combination of education and relevant experience; bachelor’s degree preferred
