Description:

The Supervisor, Student Business Services (SBS) assists the SBS Director in managing the activities of the department, involving the student account billing, third party payer billing, financial record-keeping, cash handling and supervision of SBS representatives who interface with students. The Supervisor is also responsible for creating and modifying item types in the Student Financial system received from Accounting, state warrants, student financial procedures, verification of international tuition, updating our catalog, and the tuition and fee tables. This position also represents SBS in weekly financial appeals, and orientations. All SBS Representatives will report to this position.

Duties:

  • Oversees all student orientations and any events on campus; responsible for presenting at these events and making sure staffing is present if needed. Attends any orientation meetings and trainings. Responsible for all presentations and items handed out at such events.
  • Responsible for updating webpage and catalog, verifying fixed-rate eligibility, sending notifications to students via email and Navigate.
  • Oversees daily operations of cash office including deposit activities, daily packets to Accounting and assessing accuracy and completeness. Updates and applies student records accurately with payments received. Advises, educates, and assists students with student accounts, various payment plan options, payment methods, refund processes and timelines to pay for classes/courses.
  • Supervises, trains, coordinates and monitors the work of the SBS Representatives I, II, and III positions. Responsible for hiring and dismissal of employees and initiation of disciplinary measures; approves time and absence management.
  • Oversees all Veteran Related items/issues (Ch 31, 33, Tungston); oversees course/class fees and knowledge of its process; responsible for adding late fees, late installment fees, default fees to student accounts.
  • Oversees and assists in student retention (enrollment management) and provides ideas and/or improvements where needed.
  • Reconciles all department account reconciliations monthly, Perkins reconciliation, ensures accurate daily receipting and reporting of student accounts.
  • Assists with Image Testing as needed. Also assists with 1098T process, including processing, generating and testing.
  • Responsible for attending and reviewing accounts at all student appeal meetings (weekly) and attends all SBS related meetings when Director of SBS is unavailable. Performs additional duties/responsibilities as assigned.

Required Qualifications:

  1. Associate's degree or equivalent combination of education and experience.
  2. Minimum four years of experience working in Student Financials and cash handling in a higher education setting.
  3. Minimum one year of supervisory experience.
  4. Knowledge of the cashiering functions - count cash & checks, verify and reconcile balances.
  5. Excellent verbal and written communication skills.
  6. Thorough knowledge of FERPA and other state and federal guidelines related to higher education.
  7. Skills in MS Office Software (Word, Excel, PowerPoint) and Adobe Acrobat.
  8. Mathematic skills with the ability to add, subtract and multiply.
  9. Analytical skills used to compare rate, ratio and percentages.
  10. Ability to organize, prioritize tasks, handle interruptions, meet deadlines.
  11. Ability to provide excellent customer service to university personnel and external customers.
  12. Excellent planning, interpersonal and problem-solving skills.
  13. Ability to analyze, research and solve student account issues.

Desired Qualifications:

Five years of knowledge and experience in PeopleSoft, in Bursar/Student Business Services department, or banking industry.
