Description:

Responsible for the operations of a large program or center at the university. Oversees staff, budgets, and projects.

1. Oversees a large department, program or center.
2. Manages budget and engages in strategic planning to ensure all goals are met.
3. Hires and directs the activities of staff.
4. Resolves personnel issues as they arise.
5. Engages in budget-planning, grant oversight, and policy development.
6. Implements new programs and projects and monitors ongoing activities of department or center.
7. Reviews department policies and processes and implements improvements as needed.
8. Represents department or center to internal and external constituents.
9. Performs other job-related duties as required.

MQ: Education: Requires a thorough understanding of both theoretical and practical aspects of an analytical, technical or professional discipline; or the basic knowledge of more than one professional discipline. Knowledge of the discipline is normally obtained through a formal, directly job-related 4 year degree from a college or university or an equivalent in-depth specialized training program that is directly related to the type of work being performed. Experience: Requires a minimum of five (5) years of directly job-related experience. Certification/Licensing: None.

The Program Director 2 position plays a key role in supporting the department by assisting the chair with faculty and research staff hiring, class scheduling, overseeing key administrative functions, and planning events. This role requires strong organizational skills, experience with hiring processes, and the ability to coordinate academic and departmental events. Additionally, the Program Director 2 is responsible for ensuring compliance with EHLS (lab safety and environmental safety regulations) and managing key inventory for the entire department, as well as overseeing H-1B visa processes for international hires.

 

The Program Director 2 also has a significant role in overseeing research activities, ensuring the efficient use of funds for research projects. This includes, grant financial management, and resources allocation. The role also involves supporting international students and faculty, ensuring a seamless process for visa compliance and integration.

 

 

Job Duties for Program Director 2:

 

  • Coordinate recruitment efforts for faculty and research staff, including drafting job descriptions, posting positions, and reviewing candidate applications.
  • Assist the chair with interview scheduling, reference checks, and job offer preparation.
  • Ensure compliance with university hiring policies and procedures throughout the recruitment process.
  • Onboard new faculty and research staff, providing them with the necessary resources and support for a successful transition.=
  • Collaborate with the chair and faculty to ensure that course schedules meet the needs of the department while balancing faculty workloads and student demand.
  • Manage scheduling conflicts and ensure timely resolution.
  • Oversee the scheduling of classrooms and faculty assignments, ensuring that academic needs are met and resources are used efficiently.
  • Plan and coordinate departmental events, including seminars, workshops, conferences, and faculty meetings.
  • Manage event logistics, including booking venues, arranging travel, preparing materials, and ensuring smooth execution of events.
  • Ensure compliance with EHLS regulations, overseeing lab safety practices and environmental safety protocols.
  • Conduct regular safety audits and maintain documentation for all safety-related procedures.
  • Coordinate training for faculty, staff, and students on safety regulations and protocols.
  • Monitor safety equipment to ensure it is properly maintained and available as needed.
  • Oversee key distribution and tracking for faculty, staff, and students, ensuring proper access control to departmental spaces and facilities.
  • Maintain an accurate inventory of keys and other access-related items, ensuring that keys are returned when no longer needed.
  • Address issues or discrepancies in key management and ensure a secure environment for the department.
  • Oversee H-1B visa processes for international faculty hires, ensuring all documentation is completed accurately and submitted on time.
  • Collaborate with HR and immigration services to ensure timely visa approvals and compliance with immigration laws.
  • Track the status of visa applications, providing updates to international hires and assisting with any issues or delays in the process.
  • Monitor and support research activities, ensuring that faculty and research staff have the resources they need to conduct their work.
  • Assist with the preparation and submission of grant proposals, ensuring alignment with departmental goals and university policies.
  • Provide guidance and support to international students and faculty, helping them navigate the immigration process and university policies.
  • Ensure seamless integration of international faculty and students into the department through onboarding and continuous support.
  • Assist with visa compliance for international faculty, ensuring that their visa status is maintained and any required renewals or extensions are processed on time.
