Description:
The Assistant Director for Institute for Global Engagement Events will conceptualize, develop, coordinate, and manage special events and activities in support of the Institute for Global Engagement, ensuring successful execution of events and relevant follow-up, and coordinate the day-to-day operations of the events office.
1. Conceptualize and develop special events and activities across all of the University of Houston and with partners throughout the city.
2. Coordinate and supervise all event details, from marketing through to follow-up, including coordinating and supervising event set-up, conference, meetings, special events, vendor coordination, room reservation, and audio visual equipment for various types of events (i.e. conferences, meetings, cultural presentations, etc.)
3. Manage event budgets and oversee staffing and volunteer support of events. Prepare and process financial documents and monitor costs. May assist in the preparation of contracts and other procurement related documents.
4. Compose event communications for the Institute, including advertising, marketing, and publicity materials, as well as follow-up communications, relying on both traditional and social media tools.
5. Monitor and coordinate event registration and provide status updates on upcoming events. Prepare reports for internal and external communications on events.
6. Create, maintain, and share events calendar incorporating relevant events organized by the institute or by partner institutions across UH and Houston. Serve as the primary contact for event information and requests for events facilitated by the Institute for Global Engagement.
7. Performs other job-related duties as required.
MQ:
Education: Requires a thorough understanding of both theoretical and practical aspects of an analytical, technical or professional discipline, or the basic knowledge of more than one professional disciplines. Knowledge of the discipline is normally obtained through a formal, directly job-related, 4 year degree from a college or university or an equivalent in-depth specialized training program that is directly related to the type of work being performed. Experience: Requires a minimum of three (3) years of directly job-related experience. Certification/Licensing: None.
Additional Duties:
1. Develops and executes strategic communications for Institute for Global Engagement events and initiatives, including advertising, marketing, publicity, website, and follow-up communications, utilizing both traditional and social media platforms.
2. Prepares, edits, and distributes releases, stories, regularly recurring communications, social media content, and reports for internal and external audiences related to global engagement activities and events.
3. Prepares post-event reports, summaries, and impact narratives to support institutional reporting, marketing, and assessment of global engagement initiatives.
4. Represents the Institute for Global Engagement at campus-wide, community, and external events as appropriate.
The ideal candidate for this position should possess the following:
• Higher Education experience.
• Marketing and/or storytelling experience.
• Ability to take initiative, problem solve, exercise excellent judgment, demonstrate critical thinking skills, and adapt to shifting priorities in diverse settings.
• Excellent verbal and written communication skills.
• Proficiency in Microsoft Office Suite, Canva, and marketing
• Ability to interact with all levels of internal and external constituents with highest level of professionalism.
• Must have strong attention to detail and the ability to prioritize and multi-task.
